A Donor CRM vs. a Donation Processor

Donation processors are very good at one thing: taking a card payment and getting the money to you. They are usually not where your team plans the next ask. FundraiserMax does not process payments. It is where every gift lands next to everything else you know about the donor.

Short answer: Keep your donation processor for the payment. Use FundraiserMax for the donor: imported gifts sit next to offline checks, pledges, call notes, events, and contribution limit totals, so the next ask is based on the full picture.

TopicFundraiserMaxA typical donation processor
Takes card paymentsNo. Your processor keeps doing that. FundraiserMax records the gift once it arrives.Yes, that is the core of the product.
Offline giftsChecks, cash, in-kind, and pledges are entered or imported on the same records as online gifts, grouped in numbered batches.Usually online gifts only.
Donor historyEvery gift from every source, plus calls, meetings, emails, and events, on one contact record.Gifts made through that processor.
Call time and follow-upCall lists built from giving history, a dialer, pledges, and follow-up dates on each donor. Not usually included.
Contribution limitsChecked across every source, so an online gift and a check from the same donor count toward one total. Can only see gifts made through that processor.
Getting gifts acrossCSV import for the major political processors, and a signed webhook for processors that support one, each with a back-out trail.Exports and webhooks vary by processor.
Cost$40 per user per month. No fee on the money you raise.Usually a percentage of each gift.

A processor alone is enough if

  • Nearly every dollar comes in online and nobody makes calls or tracks pledges.
  • You have no offline gifts, events, or contribution limits to reconcile across sources.
  • The processor's own donor export answers every question you ask, and one person can read it in a few minutes.

Add FundraiserMax if

  • Gifts arrive online, by check, and at events, and you need one total per donor.
  • The candidate or development director makes calls and needs history before each one.
  • You owe a filing and need limits checked across every source before the deadline.

They do different jobs

A processor sees a donor when they give through its page. It does not see the check they handed over at a house party, the pledge they made on a call, or the event they attended. Those are the moments that decide whether the next gift happens.

FundraiserMax brings the processor’s gifts in next to everything else, so the person making the call sees the whole relationship and the treasurer sees one contribution total per donor.

How gifts get from the processor into FundraiserMax

Import a processor’s CSV export, or connect a webhook where the processor supports one so gifts arrive as they are processed. Every imported gift keeps its import reference, and one that came in wrong can be backed out and restored later. The Integrations page lists the current connectors.

Hosts can share a tracked link to your donation page, and gifts that come back with the code are credited to that host.

Frequently Asked Questions

Does FundraiserMax process donations?

No. FundraiserMax records gifts but does not take card payments from donors. Keep your current donation processor and bring its gifts in by CSV import or webhook.

Which donation processors connect to FundraiserMax?

The Integrations page lists current connectors, including CSV import for the major political processors and signed webhooks for processors that support them. Any processor that exports a CSV can be imported, and the REST API covers the rest.

Will imported gifts be counted twice if I also enter them by hand?

Not from repeat imports. Each imported gift keeps the processor’s transaction id, so importing the same export twice skips the gifts already in your file. If a gift was also typed in by hand, back out one copy and the totals and limit checks exclude it while it is out.

Does FundraiserMax take a percentage of donations?

No. Pricing is per seat, $40 per user per month or $425 per user per year. The only usage charges are phone numbers, marketing email volume past the included amount, and optional email validation.
